Migration to SharePoint Online (Office 365)
TerpSys worked with a well-known District of Columbia professional organization to extract data from an old Cold Fusion web site, including a large number of records from an old open-source database. This data was migrated into a collection of new SharePoint Online sites:
Old web forms were converted into fillable online SharePoint or InfoPath forms, which alert internal recipients of service requests. Examples include New Hire Notification, Supply Request, and Courier Service Request.
- Content was organized into different team sites, and SharePoint security applied to ensure the protection of sensitive data. Directories were created for contact information for organizational leadership, members, and others.
- Site navigation and page layouts were created or improved.
- Customized views were created for list data to enhance ease of use.
- The large database was transformed into a complex SharePoint list leveraging SharePoint Site Columns and Content Types. Custom Views were created to improve findability while emulating the older interface to avoid creating a large learning curve for users. Special attention was given to permissions management to protect sensitive data contained in the database, which now uses reliable Microsoft SQL Server technology to underlie the SharePoint interface.
The SharePoint Online site provides the robustness of the Microsoft Cloud, providing ease of access to organization members (who are not internal users), and ensuring 99.99% or greater availability.
TerpSys was able to accomplish this migration within the confines of a modest budget typical of smaller non-profit organizations, finding clever Out of the Box (OOB) least-cost solutions to the organization’s business problems.
